The mailboxes have now been moved over to Google, and the next stage of Migration is taking place.

If you have not yet logged in to Google and have an expired password, please request a new password by email [email protected], and please include an alternative email address to send the password request to, as you will not be able to receive it to your Northumerland Scouts email address.

14th June 2025 – Update

You should now have received an email from Google prompting you to set your password. Please be aware that this link will expire within 48 hours, so we recommend completing the setup as soon as possible.

We will be making the switch tomorrow – Sunday 15th June, where you will start to see the email being delivered in to your new Gmail inbox. It can take up to 72 hours for emails to stop coming in to your Microsoft inbox.


Your Email Address

The Google welcome email will display your primary email address / username, which will be either:

This is what will be used to sign into your account.

If you have not received your password reset email from Google, please email [email protected].


Shared Email Addresses

Shared email addresses/delegated mailboxes have been set up, and if you have been added to a shared mailbox, you will have received a notification asking you to accept this. You may get an error at first, but if you do, please try again tomorrow, after the switchover. If you continue to have an issue, or think your should have access to a shared mailbox or have a mailbox missing, please email [email protected].


Email Migration and Redirection

The first round of migration has taken place, migrating all emails from 1st January 2025. We will run a further migration after the weekend to capture any new email messages and also messages prior to 1st January 2025.


Accessing Your New Inbox

You can log in to your new email account via Gmail here:

Use your email address shown in the password reset email you received, and the password you created.

Using Gmail in Microsoft Outlook

If you prefer to use Microsoft Outlook, you can configure it to access your Gmail using IMAP:

  1. Follow Google’s official guide:

  2. Make sure IMAP access is enabled in your Gmail settings:
    • Go to Gmail → Settings → See all settings → Forwarding and POP/IMAP → Enable IMAP
  3. Use the following settings in Outlook:
    • Incoming mail (IMAP): imap.gmail.com, Port: 993, SSL: Yes
    • Outgoing mail (SMTP): smtp.gmail.com, Port: 465 or 587, SSL/TLS: Yes
    • Username: your full Gmail address
    • Password: your Gmail password or App Password if 2-Step Verification is enabled

We’re moving all @northumberlandscouts.org.uk email accounts – and several other domains within our Microsoft Tenant – from Microsoft 365 to Google Workspace (Gmail). This is due to Microsoft removing the licences we currently use.

🗓 Email Migration: Weekend of 14–15 June 2025

Email delivery will switch over to Gmail on the weekend of 14th-15th June.  Mailboxes/calendars will also be migrated across this weekend.  

To improve the migration process, we do ask that you clean up your current inbox removing any emails which are no longer required.  

Initially, we will only be migrating emails and events from 1st January 2024.  We will run a second migration to bring in older emails and events over the coming weeks. 

Shared Mailboxes

Shared mailboxes will be created and current members of shared mailboxes will receive notifications in the Google Account that they have been added.  In order to have access to the Shared emails, you must accept the invitation.

Please note Shared mailbox emails WILL NOT be migrated.   


🔐 Google Password Setup – Very Important

In the next few days, you’ll get an email from Google “Your Google Account password has been reset”.  Please click on the “Reset Password” button to set a new password for your Gmail account.  

  • The link expires after 48 hours — so please act quickly.
  • If you miss the window, just email us at [email protected] to request a new password link.

Once you have set your password you will be able to log in to your Google account at

📁 Using OneDrive? Please Act Now

If you’re currently storing files in OneDrive with your Scouts account, you’ll need to move them to:

  • Google Drive, or
  • Your personal OneDrive (not linked to Scouts)

There will be a short overlap between systems to help with transferring files — but best to get started now to avoid any disruption.


Failure to act will most likely result in data being irreversibly lost.
